Please read these terms together with your personalised proposal, invoice and any specific supplier conditions provided before booking.
Submitting an enquiry does not create a confirmed booking or require you to make a payment.
We will prepare a personalised proposal based on the information you provide, including your dates, number of travellers, interests, preferred accommodation, travel pace and approximate budget.
Each proposal will state what is included, the quoted currency, its validity period and any special conditions that apply.
All services remain subject to availability until your booking has been confirmed in writing.
A booking is confirmed only after:
1. You accept the final proposal;
2. We receive the required 30% deposit, or full payment for bookings made within 30 days of arrival; and
3. We provide written booking confirmation.
The person making the booking must be at least 18 years old and is responsible for providing accurate information for every traveller included in the booking.
Names must be supplied exactly as they appear on each traveller’s passport.
A deposit equal to 30% of the total journey price is required to confirm your booking.
The remaining balance must be paid no later than 30 days before your scheduled arrival date.
Bookings made within 30 days of arrival require full payment at the time of confirmation.
If payment is not received by the stated deadline, we may treat the booking as cancelled by the traveller and apply the applicable cancellation charges.
Payments must be made using the method and currency stated in your invoice. Bank charges, transfer fees, card-processing charges and currency-conversion costs are the responsibility of the traveller unless otherwise stated.
Prices are based on the itinerary, number of travellers, room arrangements, services and exchange conditions applicable when the proposal is prepared.
After confirmation, the price may change if:
• You request changes to the itinerary or services;
• The number of travellers changes;
• Government taxes, entrance fees or mandatory charges change;
• Incorrect or incomplete information was supplied; or
• Exceptional circumstances beyond our reasonable control materially affect the arrangements.
We will explain any additional cost before confirming a requested change.
Only the services expressly listed as included in your confirmed proposal are part of your booking.
Unless specifically included, international flights, visas, travel insurance, personal expenses, optional activities, meals, gratuities and services not listed in the proposal are excluded.
Cancellation requests must be submitted in writing to info@visitmysrilanka.lk. The effective cancellation date is the date on which we receive your written request.
Unless different conditions were disclosed before confirmation, the following cancellation charges apply:
• 61 days or more before arrival: 30% of the total journey price
• 31–60 days before arrival: 50% of the total journey price
• 15–30 days before arrival: 75% of the total journey price
• 14 days or fewer before arrival: 100% of the total journey price
• No-show or early departure: 100% of the total journey price
These percentages apply to the total confirmed journey price, not only to the deposit paid.
The cancellation charges above include supplier cancellation costs. We will not add separate supplier cancellation charges or administrative fees for the same cancelled services.
Some hotels, flights, train tickets, permits, peak-season arrangements and other supplier services may have stricter cancellation terms. Where applicable, we will disclose these in your proposal before you confirm the booking. These terms will replace the standard cancellation charge for the affected service only; the standard percentages will apply to the remaining services.
Any refund will be calculated from the amount you have paid, less the applicable cancellation charges. We will provide an itemised calculation. Any non-refundable payment-processing or bank fees will be deducted only if disclosed before booking and permitted by applicable law.
If the applicable cancellation charges exceed the amount already paid, the outstanding cancellation balance remains payable.
Nothing in this section limits any refund entitlement or consumer right that cannot legally be excluded.
We will make reasonable efforts to accommodate requested changes, but changes remain subject to availability and supplier approval.
Additional costs resulting from a change must be paid by the traveller before the revised arrangements are confirmed.
Removing or reducing confirmed services may be treated as a partial cancellation and may not result in a refund.
Travel arrangements may occasionally require changes because of weather, road conditions, safety concerns, government decisions, supplier changes or other operational circumstances.
We may make reasonable changes to the order, timing, accommodation, transport or experiences while preserving the overall character and standard of the journey.
If we must make a significant change before arrival, we will offer, where reasonably possible:
• A suitable alternative;
• A revised journey; or
• A refund for the affected service that cannot be provided or replaced.
Visit My Sri Lanka is not responsible for failure or delay caused by circumstances beyond our reasonable control. These may include severe weather, natural disasters, epidemics, civil disturbance, strikes, government restrictions, road closures, transport disruption or other exceptional events.
We will provide reasonable assistance and try to identify suitable alternatives. Any additional costs and refunds will depend on the circumstances and the terms imposed by the relevant suppliers.
Hotel classifications, room descriptions, photographs and facilities are provided as guidance and may differ from the final service supplied.
If confirmed accommodation or another service becomes unavailable, we may arrange a reasonably comparable alternative.
Travel durations are estimates and may be affected by traffic, weather, road conditions, stops and local circumstances.
Wildlife sightings, weather conditions and access to attractions cannot be guaranteed.
Each traveller is responsible for ensuring that they possess:
• A passport valid for the required period;
• The correct visa or electronic travel authorisation;
• Any required health documentation;
• Necessary medication and medical advice; and
• All other documents required for travel.
Visit My Sri Lanka is not responsible for loss resulting from a traveller’s failure to meet entry, health or documentation requirements.
Travellers are strongly advised to obtain comprehensive travel insurance immediately after booking.
Insurance should cover medical expenses, emergency evacuation, trip cancellation, curtailment, personal belongings, delays and activities included in the itinerary.
Travellers are responsible for checking that their insurance is appropriate for their individual circumstances and planned activities.
Travellers must follow reasonable safety instructions provided by Visit My Sri Lanka, guides, drivers, accommodation providers, activity operators and local authorities.
You must inform us before confirmation about any medical condition, disability, dietary requirement or mobility concern that may affect your journey.
We may refuse or discontinue a service where a traveller’s conduct creates a serious safety risk, causes significant disruption or involves unlawful behaviour. Refunds will not normally be provided in such circumstances.
Visit My Sri Lanka coordinates services provided by independent hotels, transport operators, guides, activity providers and other suppliers.
We exercise reasonable care when selecting and coordinating these suppliers. However, each supplier remains responsible for delivering its own service.
To the extent permitted by law, Visit My Sri Lanka is not responsible for indirect or consequential loss, or for events caused by independent suppliers or circumstances outside our reasonable control.
Nothing in these terms excludes any liability or consumer right that cannot legally be excluded under Sri Lankan law.
If a problem occurs during your journey, please inform us and the relevant supplier immediately so that we have an opportunity to assist.
If the matter is not resolved during the journey, send a written complaint to info@visitmysrilanka.lk within 14 days after completion of your trip. Include your booking details and relevant supporting information.
Personal information supplied during an enquiry or booking will be handled in accordance with our Privacy Policy.
We may share necessary booking information with hotels, transport providers, guides, payment providers and other suppliers involved in delivering your confirmed arrangements.
Website content is provided for general information and may be updated without notice.
Unless otherwise stated, the Visit My Sri Lanka name, branding, text and original website content may not be copied or used commercially without written permission.
These Terms and Conditions and any booking contract are governed by the laws of Sri Lanka.
We encourage both parties to attempt to resolve any dispute through good-faith communication. If a resolution cannot be reached, the matter will be subject to the jurisdiction of the competent courts of Sri Lanka.
We may update these Terms and Conditions when our services, business practices or legal requirements change.
The terms provided with and accepted for your confirmed booking will apply to that booking.
